Telephone: Forward Desk Phone Extension to a Mobile or Other Number

Forward calls by modifying an Availability State. Calls are still routed through your Mitel phone. This allows calls to ring at the ShoreTel/Mitel desk phone, then route to your home/cell, or another campus phone number if the call isn't answered from the desk phone. Voicemail messages are handled at the alternate off-campus mobile phone, or on the office phone if forwarding to another USU phone extension.

There are additional options for setting a secondary phone called an External Assignment to route calls for ACD Mitel Contact Center Agents or to Ring Office and Mobile Simultaneously. External Assignment is recommended if you want to make outgoing calls that show the USU extension instead of a personal phone number.

If you are not physically on campus, and want to make changes to your phone, the VPN (virtual private network) is required to connect to the campus network and use the Mitel Connect application. Instructions for installing and using the USU VPN.

Forward calls using Mitel Connect

If you do not have the Mitel Connect App installed, you can download and install Mitel Connect here.

1. Open the Mitel Connect Application and Settings window by clicking the three-dot vertical menu icon, then Preferences.


2. Select Call Routing(1). Select Availability State to apply the forward(2)*. Use the Wizard, or click the Change button next to "4 rings before incoming calls are routed to voicemail" or "Incoming calls are immediately routed to voicemail" depending on the state chosen(3) to change the behavior for that call state.

*Each availability state (Available, In a Meeting, Out of Office, etc) can be programmed to be behave differently in different states, including a different voicemail greeting. Feel welcome to reach out to the IT Service Desk for help or advice from our phone technicians.

 

3. Change the options to suit your needs.

 

4. Go Back to the Call state menu


5. Verify the state with the rule is chosen and to change it back as needed.

 


Set Forwarding from a ShoreTel Telephone (Model 480g - other models function similarly)

This method can be used if you don't have Mitel Connect installed, or if it is a departmental extension not assigned to an A#. Models 230g, 560g, and conference phones can be modified similarly, but the menus appear slightly different.

1. Press the State button


2. Select Custom


3. Press the "option" button and enter your voice message PIN. If you don't know your voice message password, click on the following link and submit the form to reset it. The default PIN is '1234.' https://usu.service-now.com/usu/catalog_item.do?sysparm_id=4db91704e81c310040b6bec29b7dd67a 

4. After you have entered your voice mail password, press the "ok" button. 

5. The call handling button should be highlighted, press the "edit" button. 


6. The screen will return to the Availability state options, Custom should be highlighted. Press the "edit" button once more.


7. Change the Forward calls field to (Always) with the direction pad.

8. There should be a four digit number in that field. It will be replaced with your 10-digit destination number.

11. In Order for you to receive the call on your cell/home number, you will need to select Custom Mode. Simply press the "State" button and select Custom using the directional pad. Whenever you want to stop the calls from going to your cell or home phone, press the "State" button and select Standard in order for calls to ring the Mitel phone as they normally would.


12. You may want to have someone call your number to make sure the forward is going where you would like it to go.
