General/Folder Management
Each item has only ONE owner. Storage counts against the owner and not the collaborators.
If the owner is disabled, all content that they own is disabled.
- Available for each DP Code, 60 TB quota with option to increase
- Root folder is created which is then managed by departmental admins (that are specified in the request)
- Place to store departmental/university data
- Stays active between personnel changes
- Admins of Departmental Box Accounts can request a report of all collaborators
At Hiring
Who is eligible for an USU Box account
- - Current Student, Staff and Faculty
To be considered staff and be eligible for IT Service, the individual needs to have either a full time or part time paid position or a No Pay EPAF opting into IT Services. KB: Create a "No-Pay" EPAF
A user must have a USU email address in order to get a USU Box account.
An individual can only have one USU Box account. If a student becomes staff they do not get a second Box account.
Box Account Size
- Students - 50 GB (this is the same size when it is converted to a personal)
- Staff/Faculty - 5 TB with option to increase
- Departmental - 60 TB with option to increase
Onboarding has a 30 day window. If EPAF has not completed within 30 days or start date is after 30 days, IT services will be terminated at 30 days after the start of onboarding.
At Termination
Staff retain access to Box for 30 days after termination unless the user is off boarded.
90 days after termination account is deleted.
Off boarded employees are removed same day.
Can I keep my USU Box account after I leave USU?
- - Graduating/leaving USU students can convert their USU Box account to a personal account.
- - Staff cannot keep their USU Box account after termination
Terminated staff should transfer their content off of USU Box before 30 days after termination. Preferably before their termination date. Setting a co-owner does not keep the content active.
Disabled content can be reassigned within 90 days after the termination date. After 90 days the Box account will be deleted.
- Co-owner of a folder can request the folder ownership transferred to them with the folder name and their Anumber.
- Folder Reassignment - Supervisor of the terminated position can request folder reassignment.
- Reports - Supervisors can request two reports to help with folder reassignment
- Collaborations - A list of collaborators for a specific Box account.
- Folders and Files - A list of folders and files for a specific Box account.
- Merge - Supervisors can request that the Box account be merged into another Box account. This will move the terminated employees Box contents and will then delete the account.
