Employee IT Resource Access After Retirement or Termination (Email, Box, Microsoft MFA, etc.)

IT Services are granted according to User Groups (Banner Roles).

USU Email

Staff and Faculty may continue to access their @usu.edu mailbox for 90 days after the termination date. Qualifying Emeritus Faculty may keep their USU email. 

Box.usu.edu

USU employees may continue to access Box for 30 days after the termination date. Qualifying Emeritus Faculty may keep access to Box.

It is strongly suggested that Departments request a Department Box Account in order to preserve all critical information and avoid delays in accessing information that was owned solely by a departing employee.

Multi-Factor Authentication

Staff and Faculty are required to continue using Multi-Factor Authentication (MFA) until 30 days after the termination date. Emeritus faculty are required to to continue using MFA indefinitely.

Other IT Services

Most other IT services such as USU-guest, Eduroam, VPN, Computer Labs, Software Licensing, and etc. remain available until 30 days after the termination date.

Student, who are not staff, retain access to certain resources according to a different timeline

Exceptions: Early retirees and users with a no-pay EPAF (with IT Services opt-in) will lose access to all services on the day of separation with USU. There is no continued access for any IT Service. Example: A USU employee taking early retirement loses access to email and Box the day their early retirement begins.
